We care about your privacy. Here's exactly what we collect, why, and how we protect it.

Who we are

LandlordIQ is a compliance management platform for New Zealand residential landlords, operated by LandlordIQ Ltd ("we", "us", "our"). Our registered office is in New Zealand. Our platform is available at landlordiq.nz.

Information we collect

We collect information you provide directly to us when you:

·Create an account — your name, email address, and password
·Set up your profile — phone number, company name (optional)
·Add properties — property addresses, details such as floor area, bedrooms, build year, and climate zone
·Complete compliance assessments — answers to Healthy Homes Standards wizard questions
·Upload documents — files you store in your document vault
·Contact us — any correspondence you send us

We also collect information automatically when you use our platform:

·Usage data — pages visited, features used, actions taken within the app
·Device information — browser type, operating system, screen size
·IP address and approximate location (country/region level only)
·Cookies and similar tracking technologies (see Cookies section below)

How we use your information

We use the information we collect to:

·Provide and operate the LandlordIQ platform
·Generate compliance assessments and reports for your properties
·Send you email reminders about expiring certificates, upcoming tasks, and compliance deadlines (where you have opted in)
·Process your subscription payments via Stripe
·Send invoices and billing communications
·Respond to your support requests and enquiries
·Improve and develop new features based on how the platform is used
·Detect and prevent fraud, security incidents, and technical issues
·Comply with our legal obligations under New Zealand law

We do not use your information to serve advertising, and we do not sell your data to third parties.

Legal basis for processing

Under the New Zealand Privacy Act 2020, we collect and use your personal information on the following bases:

·Contract — to perform our agreement with you when you sign up and use LandlordIQ
·Legitimate interests — to operate, maintain, and improve our platform; to detect fraud and maintain security
·Consent — for optional communications such as compliance reminders (you can withdraw consent at any time in your profile settings)
·Legal obligation — where required by New Zealand law

Sharing your information

We share your information only with trusted third-party services necessary to operate LandlordIQ:

·Supabase — our database and authentication provider (data stored in AWS ap-southeast-2, Sydney)
·Stripe — payment processing. Stripe's privacy policy applies to payment card data, which we never store directly
·Resend — transactional email delivery (invoices, reminders, account notifications)
·Vercel — hosting and deployment infrastructure
·Anthropic — our AI chatbot feature sends your queries to Anthropic's API. Do not include sensitive personal details in chatbot queries

All third-party providers are bound by data processing agreements and are prohibited from using your data for their own purposes.

We may also disclose your information where required by law, court order, or to protect the rights and safety of LandlordIQ, our users, or the public.

Data storage and security

Your data is stored in Supabase's infrastructure located in Sydney, Australia (AWS ap-southeast-2). This means your data is stored outside New Zealand but within a jurisdiction with comparable privacy protections.

We implement appropriate technical and organisational security measures including:

·Encryption in transit (TLS) and at rest
·Row-level security policies so users can only access their own data
·Secure authentication via Supabase Auth
·Regular access reviews and principle of least privilege

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at hello@landlordiq.nz.

Data retention

We retain your personal information for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes (for example, financial records which we may retain for up to 7 years as required by New Zealand law).

Anonymised, aggregated data that cannot identify you may be retained indefinitely for platform analytics.

Cookies

LandlordIQ uses cookies and similar technologies to:

·Keep you signed in to your account (authentication cookies)
·Remember your preferences such as display theme
·Understand how the platform is used (analytics)

We use only essential and functional cookies. We do not use advertising or tracking cookies.

You can control cookies through your browser settings. Note that disabling cookies may affect the functionality of the platform, including your ability to stay logged in.

Your rights

Under the New Zealand Privacy Act 2020, you have the right to:

·Access — request a copy of the personal information we hold about you
·Correction — request that we correct any inaccurate information
·Deletion — request deletion of your account and associated data
·Portability — request your data in a structured, machine-readable format
·Opt out — unsubscribe from marketing or reminder emails at any time via your profile settings or the unsubscribe link in any email

To exercise any of these rights, email us at hello@landlordiq.nz. We will respond within 20 working days as required by the Privacy Act 2020.

If you are not satisfied with our response, you may complain to the New Zealand Privacy Commissioner at privacy.org.nz.

Children

LandlordIQ is intended for use by adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.

Changes to this policy

We may update this privacy policy from time to time. When we make material changes, we will notify you by email and update the "Last updated" date at the top of this page. Your continued use of LandlordIQ after changes are posted constitutes acceptance of the updated policy.
